Employee exit and offboarding checklist

A respectful, orderly exit process - resignation, handover, clearances, and full and final settlement.

Benefits

  • Smooth, respectful exits that protect your reputation.
  • No missed clearances or settlement delays.
  • Honest feedback that improves retention.
  • Former employees who speak well of the company.

Part 1

When an employee resigns

  • Acknowledge the resignation in writing and confirm the last working day under the notice period in the contract.
  • Discuss whether early release or a notice-period buyout applies.
  • Plan a handover of work, files, and client relationships.

Part 2

Clearances

  • Collect laptops, ID cards, and other assets.
  • Revoke system access on the last working day - not before the handover is done, and not long after.
  • Close pending items: expense claims, loans or advances, and project timesheets.

Part 3

Full and final settlement

  • Calculate pending salary, leave encashment, and any other dues.
  • Apply recoveries only as permitted by law and the contract.
  • Include end-of-service benefits and pension or retirement-fund formalities where they apply.
  • Share the settlement statement and pay within the committed timeline.

Part 4

Exit conversation

An exit interview is the most honest feedback an organisation gets. Ask what worked, what did not, and what would have kept the person. Look for patterns over time rather than reacting to a single comment.

Part 5

Letters and records

  • Issue the relieving and experience letters promptly.
  • Keep the employee record for the period your law and policy require.
