EvoqHR(“we”, “us”, or “our”) is a multi-tenant HR management platform provided by TechIntact Pvt. Ltd.. This policy explains what information we collect through EvoqHR, how we use it, and the choices available to you. It applies to the public EvoqHR website and the EvoqHR portal used by our customer organizations and their employees.
2. Who this policy covers
EvoqHRis used by organizations (“customers”) to manage their own employees’ HR data. If you are an employee of one of our customers, that organization controls the data in its account and is responsible for how it is used; EvoqHRprocesses it on the organization’s behalf. Questions about a specific organization’s use of your data should go to that organization first.
3. Information we collect
- Account & profile data: name, email, phone number, photo, role, and organization membership.
- Employment data: employment history, department, designation, documents, bank details, and salary structure, entered by an organization or its employees.
- Attendance & leave data: check-in/check-out records, leave requests and balances, and shift/schedule assignments.
- Payroll data: salary components, payroll run records, and payslips.
- Recruitment data: job openings, candidate profiles, resumes, and interview records, for organizations using the recruitment module.
- Usage data: log data, device/browser information, and IP address, collected automatically when you use the portal.
4. How we use information
- To provide and operate the EvoqHR portal for each customer organization.
- To authenticate users and enforce each organization’s access controls.
- To send transactional notifications (e.g. leave approvals, payroll processed, support ticket updates).
- To respond to support requests submitted through the portal or Contact page.
- To maintain the security, integrity, and reliability of the platform.
5. Data sharing
Data belonging to an organization is only visible to that organization’s authorized users, subject to the roles and permissions it configures. We do not sell personal data. We may share data with subprocessors who help us operate the platform (e.g. hosting and email delivery providers), bound by confidentiality obligations, or when required by law.
6. Data security
Each organization’s data is logically isolated within the platform. Access is protected by authentication, role-based permissions, and encrypted connections. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
7. Data retention
We retain data for as long as an organization’s account is active, or as needed to provide the service. An organization may request deletion of its data; some information may be retained where required for legal, accounting, or security purposes.
8. Your rights
Depending on your location, you may have rights to access, correct, or request deletion of your personal data. Employees should first contact their organization, since it controls the underlying data; organizations can reach us through the Contact page.
9. Cookies
The portal uses essential cookies/local storage required for authentication and session management. We do not use third-party advertising cookies.
10. Changes to this policy
We may update this policy from time to time. Material changes will be reflected by updating the “Last updated” date above.
